FLAIR Access
Access to the University's official accounting records on the FLAIR System (formerly SAMAS)

Inquiry

Inquiry into the University of Florida's official accounting records maintained on the Florida Accounting Information Resource (FLAIR) system is available on various levels.

The first level is inquiry through the accounting menu system known as SACA. Popular options from this menu are:

AB - Available Balance for the selected category
EN - "6S I" - ENcumbrance information;
EX - EXpansion option and set information;
FC - "PM I" - property information;
TI - TItles for the various FLAIR codes;
SC - provides access to State Comptroller's files:
    TR - State Warrants,
    VA - Voucher Audit,
    VH - Vendor History; and
VR - vendor numbers and names.

Another way to look at your official accounting records is known as SACN. Popular options from this menu are:

B   provides Balances for the major appropriation categories
    for an organization for:
    B   unexpended and uncommitted allotments,
    C   revenue less expenditures and encumbrances, or
    T   travel vs. other expense expenditures;
E   provides encumbrances for an organization; and
T   provides transactions for an organization.

Another level of inquiry is to schedule and print reports using the SACA immediate report function. These reports include the Departmental Ledgers as well as others which provide general ledger account balances, schedules of budget (allotments) less expenditures and encumbrances, property inventory lists, transactions, trial balances, downloads, etc. The major advantages of using these reports are the integrity of the data and computer time cost savings. There is no charge to state agencies for FLAIR computer time.

The most extensive level of inquiry is to create your own reports using the NATURAL database retrieval language on SACN. These reports can retrieve any information on the FLAIR database.

Connecting to FLAIR

  1. Using your favorite Host/3270 access software (i.e., HostExplorer) to access NERDC (nermvs.nerdc.ufl.edu).
  2. Either SIGNON first (for added functionality like multiple sessions) or enter "SAMAS" at the prompt or select from the Service list.
  3. At the "WELCOME TO SAMAS (CICS)" Screen, press the "Pause/Break" key (Clear on your keyboard.
  4. Now you can enter "SACA" or "SACN" depending on your required functions.

Leaving FLAIR

On a blank screen, key in "cesf logoff" (without the quotes) and press the ENTER key.

Changing Your Password

NOTE: Please change your password monthly. After the USER NAME expires, you cannot change its password.

If your USERNAME is revoked or expired or your User ID is "Locked", send email to uf-flair-help-l@lists.ufl.edu.

Signing on to SACA

1.  Key in "SACA" (without the quotes) and press the ENTER key.
2.  After the WELCOME TO SACA screen appears press the ENTER key.
    The cursor should appear at the first of eleven asterisks.
3.  Key in "4910" (without the quotes) so that under ORGANIZATION
    "4910*******" now appears. (There should be 7 asterisks left.)
4.  Press the TAB key to move the cursor to the USER NAME field.
5.  Key in your USER NAME.
6.  Move the cursor to the PASSWORD field.
7.  Key in your password.
8a. If you are not changing your password, press the ENTER key.
    If you have correctly keyed in the "4910", your USER NAME and
    password, you will have access to SACA.  If not, you will get a
    message "INVALID PASSWORD FOR USER NAME".
8b. If you are changing your password:
    1. Move the cursor to the new password field.
    2. Key in your new password.
    The previous seven passwords cannot be reused.
    3. Press the ENTER key.
    4. Key in your new password, again.
    5. Press the ENTER key.
    If you keyed in your new password exactly the same both times,
    you will have successfully changed your password and gained access
    to SACA.  If not, you will get a message "PASSWORD NOT UPDATED -
    SIGN ON AGAIN".

To leave SACA, press the CLEAR key.

PLEASE NOTE: If you get the message "INVALID PASSWORD FOR USER NAME" after trying to sign on four times in succession, the fifth unsuccessful try will revoke the USER NAME. Once revoked, the USERNAME will not work, even with the correct password. To avoid this, try a few times unsuccessfully, then clear the screen and start over at the beginning of the instructions "To sign on to SACA".

Signing on to SACN

1.  Key in "SACN" (without the quotes) and press the ENTER key.
2.  Press the TAB key to move the cursor to the USER ID field.
3.  Key in your USER ID. The cursor will move to the PASSWORD field.
4.  Key in your password.
5a. If you are not changing your password, press the ENTER key.
    If you have correctly keyed in your USER ID and password, you will
    have access to SACN. If not, you will get a message "USER ID OR
    PASSWORD INVALID".
5b. If you are changing your password:
    1.  Move the cursor to the new password field.
    2.  Key in your new password.
    3.  Press the ENTER  key.
    4.  Key in your new password, again.
    5.  Press the ENTER key. If you keyed in your new password exactly
        the same both times, you will have successfully changed your
        password and gained access to SACN.  If not, you will get a
        message "NEW PASSWORD WAS NOT CONFIRMED; LOGON FAILED".
6.  At the "NEXT" prompt at the top left of your screen, key in
    the letter "M", and press the ENTER key.

To leave SACN, press the clear key twice.

PLEASE NOTE: After trying to sign on four times in succession, the fifth unsuccessful try will lock out the USER ID. Once it is locked, the USER ID will not work, even with the correct password. To avoid this, only try a few times unsuccessfully, then leave the SACN logon screen by pressing the CLEAR key and start over at the beginning of the instructions "Signing on to SACN".

New Users

User Names for inquiry through SACA are available by sending email to the University FLAIR Help Desk at uf-flair-help-l @ lists.ufl.edu.

User IDs for inquiry through SACN are obtained by sending the name and telephone number for each person who wants a User ID to the University FLAIR Help Desk through either campus mail at PO Box 113202 or email to uf-flair-help-l@lists.ufl.edu.

Application for a USER NAME for scheduling reports may be obtained after completing FLAIR training classes.

Printing access from FLAIR is obtained in the same way as for a SACN User ID. The required information is the eight character printer ID, the model and manufacturer of the printer, the location (address, building and room number) of the equipment and your name and telephone number.
